Position Summary Information
Minimum Qualifications	
Bachelor’s degree required from a regionally accredited institution in higher education, administration, management or an appropriate student services-related field and at least two years of experience in a leadership position in an administrative office at a post-secondary institution of higher learning, preferably in a field of Enrollment Services (i.e., Admissions, Registrar’s Office). This position requires a high level of motivation, excellent interpersonal skills, verbal and written communication skills, and the ability to exercise judgment and discretion in applying policies and procedures as well as the ability to cultivate professional relationships at all levels within an organization. Position should have demonstrated experience in supervising other staff members. Experience in serving multicultural populations is also needed.

Essential Duties and Responsibilities	
The Registrar’s Office serves as the official depository for all academic records, undergraduate and graduate, and provides support to students, faculty, staff, administrators, the campus community and beyond in a wide variety of ways. Duties for this position includes but are not limited to:

Mentor, coach and manage staff in the Records/Graduation/Transcripts Area and coordinate regularly, as needed, with the supervisor of the front facing customer service area of the Registrar’s Office.
Apply extensive knowledge of supervisory practices and skill in supervising others, delegating and assigning work and effectively and fairly working with employees.
Work collaboratively with the Service Area supervisor to ensure cross training of both staffs (Records/Graduation/Transcripts and Service Areas) is maintained at the highest level.
Oversee the staff member managing the new process of sending electronic transcripts.
Support, as appropriate, opportunities for employee training and growth and provide leadership in planning and organizing the work of others.
Ensure coverage and supports the functions of handling walk-in support of students with registration and enrollment questions or concerns, ordering of transcripts, and managing discrepancy reports and corrections.
Ensure and support best practices to serve multicultural populations.
Ensure the maintenance and accuracy of university student records, readmission and undergraduate degree conferral.
Act as decision-maker pertaining to the academic record keeping, transcript delivery, readmission, graduation tracking and planning, and maintain in-depth knowledge of service area functions particularly as they relate to processes and procedures to ensure cross training of staff.
Manage complex work situations and implement responses based on interpretation of regulations and standards, in collaboration with the Registrar as needed or required.
Work collaboratively with Deans’ Offices, Department Chairs, Institutional Research, Space Management, Summer Sessions, Student Accounts, Financial Aid and other offices on the maintenance of academic records and degree conferral to set appropriate deadlines and feasible goals that meet expected timelines, standards and improved processes.
Take initiative to streamline processes and redefine business processes with the Registrar and be willing to investigate best practices at other institutions as well as with state, regional, and/or national organizations.
Oversee the planning and organization of portions of the University Commencement ceremonies in collaboration with the Chancellor’s Office.
Participate in university wide committees as appropriate and possess an ability to represent the Registrar’s Office professionally and respectfully across campus and beyond.
