Job Description The deputy registrar functions as the general operations manager and staff supervisor for the Office of the University Registrar (OUR). The person in this position must build a strong sense of teamwork and purpose among the staff to ensure the efficient and effective operation of the office. The deputy registrar interacts extensively with subordinates and superiors, both internal and external to the office, and must excel in written and oral communication. The deputy registrar assists the university registrar with the planning, development, and implementation of new systems and services. Job Responsibilities General operations manager for OUR. Supervises the activities of the Curricula and Course Management Division and the Records Processing and General Services Division. Makes recommendations to the university registrar with respect to the organization and operation of OUR and ensures that all personnel matters are addressed fairly and expeditiously. (25%) Participates in new automated systems planning, development, implementation, maintenance, and enhancement. Serves as subject matter expert for student records and course management modules of student information system, including an emphasis on new system implementation. Responsible for the maintenance and enhancement of the on-line course prerequisite checking, on-line waitlisting, degree audit and Comprehensive Academic Tracking systems. (25%) Develops, manages and improves academic support services to the offices of academic deans, departmental offices, and the faculty in the areas related to student records, registration, and retention. Coordinates the work of OUR with the responsibilities and functions of Undergraduate Admissions, Student Aid and Scholarships, University Information Systems, Office of Bursar Operations, and other administrative units. (15%) Responsible for ensuring that the Faculty Senate Courses and Curriculum Committee receive adequate support to carry out its responsibilities. Ensures all course and curriculum changes approved by the university are reflected in the LSU General Catalog; the Authorized Course Master database; and the curriculum, concentration, and minor code tables in the SRR database. (10%) Coordinates all aspects of Commencement Day activities. This responsibility involves extensive coordination with colleges, University Relations, LSUPD, LSU Traffic & Parking, Athletics, and University Recreation, as well as the contracted photography company. Plans and implements the Main Commencement Ceremony in May and August. Recruits and organizes volunteers who work at the ceremony. Coordinates the scheduling of the college diploma ceremonies. (10%) Develops, implements and administers improved procedures for the management of currently and previously enrolled student academic records maintained on the SRR database, the imaging system, and/or hard copy archives. Grants and revokes access to the Student Records and Registration database, Authorized Course Master database and Advance Standing database. (5%) Supervises publication of the following publications: LSU General Catalog; "Guide to Majors" advising document; six on-line Registration Schedule of Classes booklets; and the Main Commencement Ceremony and diploma ceremonies' programs. (5%) Promulgates and interprets university and OUR policies, procedures and practices. Devises, reviews, and implements procedures to enact policies. Assists university units with obtaining data stored in the SRR database. Other duties as assigned by the university registrar. (5%) Minimum Qualifications Master's and three years of experience in registrar's office or academic dean's office performing registrar-related functions OR Bachelor's and five years of experience in registrar's office or academic dean's office performing registrar-related functions. Preferred Qualifications Implementation of a student information system.
