Characteristics of the Class: Supports the academic goals of the institution through cooperation with a variety of other offices. Monitors compliance with a variety of academic policies and procedures. Essential Job Functions: • Manages all aspects of the degree certification process, including helping maintain the administrative degree audit software and the timely tracking of student progress toward degree completion; • Oversees office responsibilities related to Commencement, including the production of the Commencement and Baccalaureate programs and printing of diplomas; serves on Commencement Committee; • Determines eligibility and produces reports for a variety of student honors, including graduation honors, Junior Marshalls, Deans’ List, and Phi Beta Kappa; • Produces a variety end of term and end of year grade statistics reports; • Evaluates external and internal test scores to determine student basic skills level and placement in humanities, math and foreign language; • Evaluates credit by examination (AP, IB) test scores and records appropriate credit; • Serves as primary office liaison with our administrative ERP (Jenzabar) and the Centre ITS office; • Writes and maintains a variety of reports, as requested, extracting data from the administrative database using the Cognos software; • Helps compile and submit required enrollment and degrees reports to various federal, state, and other third-party institutions; • Together with the Registrar and the Coordinator of Academic Records, maintains student records using the College’s document management software (Alfresco); • Understands all institutional academic policies and office policies and effectively communicates them to students, faculty, staff and alumni. • Assists with various aspects of First Year Orientation including helping teach one class meeting of the Extended Orientation course. • Contributes to the overall success of the department by performing other duties as assigned. Entry Requirements: Education and Experience Bachelor’s degree required. Experience in an academic, administrative setting is preferred. Knowledge and Skills Excellent written and verbal communication skills. Ability to organize and manage multiple tasks simultaneously. Strong computer skills, including PC applications, experience with an integrated, mainframe administrative database, and experience in web-based services. Ability to work closely and confidentially with students, faculty, staff, and alumni in interpreting academic policy and provide office services. Ability to work with minimal supervision. Mature judgment and ability to work under pressure are necessary qualities for working in this busy environment. Physical Requirements: Limited pushing, pulling, lifting. Lifting would not exceed 20 lbs. Mobility on campus necessary.
