ASSISTANT REGISTRAR – Division of Enrollment Services/Registrar Salary: Salary commensurate with experience and qualifications. Job Summary: SMU is seeking an Assistant Registrar for the Division of Enrollment Services. This position is a member of the Enrollment and Scheduling team and provides expert operational support for my.SMU as related to enrollment processes. This position also troubleshoots problems, researches issues and provides users with documentation for operational processes. Essential Functions: Provide expert daily operational support for Enrollment staff in the Registrar’s Office which includes running seasonal processes and assisting staff with various my.SMU processes. Specific areas of expertise are courses, academic scheduling and enrollment, and my.SMU Student Center; however, cross-training over time is expected in the areas of academic records, diplomas, transcripts and certifications. Identify and communicate production-stop issues to Shared Services and coordinate proposed resolutions and implementation for Enrollment operations which will involve retraining end-users. Manage documentation for enrollment processes which includes writing new and modifying existing policies and procedures. Manage the policy and procedures manual for the Registrar’s Office. Identify and create data queries to support and enhance enrollment processes. Responsible for documenting and setting up selected tables in my.SMU. Works with Shared Services to update enrollment/course catalog/scheduling projects on the Registrar’s Office Project List, and keeps Registrar’s Office Senior Leadership informed. Manage the maintenance of the academic and enrollment calendars. Review and approve user access for Student Records. Serve as the Registrar’s liaison with Shared Services for Enrollment functionalities. Assist Training Team as needed with training tutorials in new processes and retraining of existing processes, including their tutorials. Research, test, and implement existing and potential new functionality. Assist Enrollment Team with various enrollment processes, as needed. Assist in research and resolution of enrollment discrepancies. Provide support and assistance for Schedule.SMU, as needed. Assist with VA certifications. Attend meetings/conferences to stay abreast of technology issues. Attend all Division and Team meetings. Attend staff development and training activities. Assist with Academic Ceremonies. Assist and support other Registrar activities and projects as well as Division-wide activities as requested. Other duties as assigned. The position requires work during 2-3 weekends per year for ceremonies. This position also requires other extended hours as needed, for workload and projects. Education and Experience: Bachelor’s degree is required. A minimum of three years of work experience in a field closely related to designated area is required. Work experience utilizing a large integrated computer system is required. Work experience in higher education setting is preferred. Experience using MS Word, Excel, PowerPoint, Outlook, and Access is required. Experience using Oracle (PeopleSoft), Ad Astra scheduling software is preferred. The ability to learn new software, including query tools, is required. Knowledge, Skills and Abilities: Candidate must demonstrate strong interpersonal and verbal communication skills with the ability to communicate effectively with a wide range of constituencies. Must also demonstrate the ability to communicate effectively in writing. A strong customer service orientation is essential. Candidate must demonstrate strong problem solving skills with the ability to identify and analyze problems as well as present recommended solutions. Must also be able to work independently as well as to work collaboratively and as part of a team. Candidate must possess strong organizational, planning and time management skills with the ability to manage concurrent projects and multiple tasks. Must also have a strong focus on attention to detail. Candidate must have strong project management skills. The candidate is responsible to understand and comply with the Family Educational Rights and Privacy Act of 1974 (FERPA), the Gramm, Leach, Bliley Act, and abide by the rules and regulations of the National Collegiate Athletic Association (NCAA). Must be willing and able to work 2-3 weekends per year for ceremonies. Must be willing and able to work extended hours, as needed, for workload and projects. Physical/Environmental Demands: This position must be able to handle objects (dexterity) and be able to sit for long periods of time.
